Duties and responsibilities: CLIENT FINANCES
- Develop/maintain invoice audit cadence that focuses on daily and real-time reviews of exam, procedure, and surgical invoices.
- Review estimates for charge accuracy.
- Support business or CSR team to collect payment for deposit of treatment plans or updated treatment plans.
- Conducts daily invoice audits on current and discharged patients to verify accuracy. Verifies that Care Credit or similar programs will cover services provided and communicates with the Billing Team if additional payment is needed. Follows up within appropriate time frame in communicating any billing discrepancies with the treating DVM and/or Practice Manager.
- Inform the medical team when the deposit is close to the high end of clients agreed estimate and in cooperation with attending Doctor, decide whether a new estimate should be provided, and new deposit collected.
- Prepares request for client account balance adjustments in accordance with client specific procedures.
IN HOUSE ADMINISTRATIVE TASKS
- Participate in patient rounds with team members
- Complete and discuss financial estimates for clients as directed by doctors
- Ensure all patients are identifiable with a cage card
- Act as conduit between doctor and the client regarding adjustments to treatment plans and their financial implications
- Activate computer reminders and insert communications, treatments and diagnostics
- Ability to carry out communications, if deemed appropriate by practice protocol, for client's awareness of daily financial updates. Log communications.
- Monitor Smartflow treatments for accuracy and assist in overseeing timely completion
- Obtain relevant records from rDVM or regular clinic
PATIENT DISCHARGE
- Instruct clients on the care of patients at home, warnings or things to look for and/or expect post-procedurally, as well as the timing of recheck appointments
- Discuss medications with owners and send home PLUMB handouts for all medications going home
- Discuss medication administration or application and potential side effects with owners as directed by doctors
- Coordinate patient transfers if necessary
MEDICAL RECORD MANAGEMENT
- Evaluate and report on quality of medical record documentation and alignment with charges.
- Enter communication notes in patient files of all relevant phone or in-person conversations with clients, inclusive of lab results
- Verify and/or witness client's statements regarding procedures, including euthanasia
- Accurately scan and attach all paper medical records to EzyVet Exam-Room Tasks
- Obtain relevant records from rDVM or regular clinic
- Monitor diagnostics for completion
NURSING-CARE TASKS BASIC AND ENVIRONMENTAL TASKS
- Prior to discharge, verify that all catheters have been removed from the patients and that patients are clean and sanitary
- Be able to exhibit/participate in patient restraint
- Assist with patient radiographs
- Process lab samples (in house and referred)
- Kennel maintenance/cleanliness
- Patient food distribution
- Upkeep of general hospital cleanliness

- Excellent communication and interpersonal skills. Communication and customer service skills are performed with considerable tact, diplomacy and clarity in both written and verbal formats.

- Experience in a veterinary or medical setting preferred.
- Strong problem-solving and conflict-resolution skills.
- Proficiency in scheduling and resource management.
- Knowledge of financial processes, including transactions, invoicing, and account management.
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Ability to work a flexible schedule, including nights and weekends.
- Strong organizational and multitasking abilities.

and so much more! Compensation negotiable based on credentials and experience with a hourly pay rate starting at $24 - $29 / hour. The actual rate offered will carefully consider a wide range of factors, including your skills, qualifications, experience, and location.
