Job Description
GENERAL STATEMENT OF JOB The purpose of this classification is to perform highly responsible administrative work necessary for the day-to-day operations of the South Fulton Mayor's Office, including scheduling, correspondence, and budget reconciliation; as well as providing supervision of Interns working in the Mayor's Office.
SPECIFIC DUTIES AND RESPONSIBILITIES Answering phones and serving as front-line receptionist for the Mayors office, record all concerns and route callers to the appropriate departments to find resolution for Constituent concerns and complaints
Preparing, updating and reconciling the Mayor's calendar, schedule, travel and lodging
Perform journey-level budgetary, financial, administrative, and analytical support duties for leadership to oversee assigned administrative processes, procedures, and programs.
Reviewing and updating the Mayor's correspondence, including email, "snail" mail, Letter's of Support, Recommendation, Proclamations and others
Receive, organize and manage storage of various forms, reports, correspondence, logs, lists, schedules, calendars, invoices, statistical data, minute books, catalogs, laws, regulations, ordinances, policies, procedures, manuals, directories, reference materials, or other documentation.
Oversee assigned projects/programs and administrative support functions and specialized programs.
Coordinate work activities, special events, program functions, and other tasks with other City departments, cities, county, state and federal agencies
Supervising and managing Interns working in the Mayor's Office, including the tracking of attendance, hours and pay
Exercise considerable initiative, independent judgment, and discretion, especially where clearly defined guidelines are needed to assure the Mayor's action items are properly prioritized, processed, managed, and resolved.
Use discretion and care in handling confidential and sensitive information, as well as professionalism and tact in interacting with internal and external higher-level staff and management in planning and coordinating work efforts.
Interpret, communicate, and apply rules, procedures, and policies.

MINIMUM EDUCATION AND TRAINING High School Diploma or Equivalent
Possess and maintain a valid State of Georgia Driver's License
Experience teaching or coaching young people ages 16-25
Must be comfortable interacting with diverse populations, including but not limited to youth & seniors, physically/mentally disabled, formerly incarcerated, immigrant, and LGBTIQA+ communities
ADDITIONAL PREFERRED EXPERIENCE Associate's degree or certificate in secretarial science or business administration
Five (5) years of experience in administrative support for C-suite and/or high-profile individuals
At least two (2) years' experience with online Project Management Software (Monday, Asana, Salesforce, Oracle, etc).
Proficiency with QuickBooks and/or Oracle, SAP or comparable Accounting Software
Notary Public certification.
MINIMUM QUALIFICATIONS AND STANDARDS REQUIRED Work Hours:
Monday-Friday, 8-5 p.m. in office, 0% remote
Must be willing to work holidays, nights, and up to 2 weekends per month with 72 hours' notice.
Physical Requirements:
This position classifies the physical exertion requirements as light physical effort in sedentary to light work, which may involve lifting, carrying, pushing, and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods at a keyboard or workstation. Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally.
Standard Hours are Monday through Friday, 8am - 5pm, in office
Hours may shift as needed for special assignments and events at the Mayor's discretion
This is an exempt position, and the incumbent is expected to work a minimum of 40 hours per week. City of South Fulton
