Elections Department Executive Assistant Location Phoenix, AZ (Central City area) : Posting Date 11/20/23 Application Deadline 11/27/23 Pay Range Hiring Range: $22 - $28.50 per hour Full Range: $22 - $35 per hour Job Type Unclassified Department Elections About the Position About the Position This Executive Assistant is responsible for assisting Elections Department leadership with performing special projects that may include researching election operations best practices, benchmarking analysis, and performing voter turnout studies. In addition, you will also provide support to Executive Leaders as they respond to requests from the Board of Supervisors and Elected Officials. During election cycles, the Executive Assistant will assist the Human Resources and Recruitment Manager with managing payroll tracking, data entry, and other administrative functions to ensure the accurate and prompt payroll of over 3,000 temporary workers. You will be challenged with and engaged in initiatives directly impacting the lives of 2.5 million registered voters. We Require - High School Diploma or GED Certificate
- Five years of administrative experience with at least three years supporting management-level positions
- Postgraduate degrees or professional-level-related experience may substitute for education or experience on a year-for-year basis
- Must complete the next scheduled Secretary of State Election Officer Certification
- Must be eligible to vote in Arizona and pass an applicable background screening
We Also Value - Computer/software skills with experience in database management, Excel pivot tables, PowerPoint, business computer applications, and building data collection/screening tools
- Two or more years of professional analytical experience
- Two or more years of human resource or payroll experience
Job Contributions - Assists executive leadership by conducting management research work involved in analyzing and evaluating assigned programs and policies, organizational structures, systems and procedures, equipment, staffing, and alternate methods of providing service.
- Documents progress by Division, program, office, supervisor, and/or employee by established business practices and standardized procedures.
- Assists the Division and Program Managers in formulating and implementing standard operating procedures and Administrative Policies.
- Collects information and data to conduct surveys on operational and administrative issues, trends, analyzes findings, prepares reports, and makes recommendations to management.
- Provides administrative support to department management.
- Supports Human Resources by managing logistics for employment interviews, including contacting candidates, scheduling conference rooms or virtual resources, coordinating with panelists, and preparing interview packets.
- Collects, reviews, and audits approximately 300-600 temporary employees' timecards during four election cycles per year.
- Assists with the input of poll worker payroll, including training classes, set-up, and payment for premium status and/or any miscellaneous expenses.
- Compiles payroll data and writes reports for management.
- Evaluate mileage, travel, and other reimbursements.
- Professionally and effectively communicates County and Department policies and procedures related to payroll processing.
- Researches, compiles, and analyzes information and data for recruitment trends, special projects and comprehensive reports.
- Utilizes County HR software programs to generate forms, queries, and personnel reports as requested.
- Prepares and maintains Department files for personnel in an organized and confidential manner.
- Evaluates staffing needs and workload trends; recommend new positions if needed.
- Composes, edits, and processes complex and confidential correspondence, legal documents, and other communications on a wide variety of subjects requiring knowledge of the procedures and policies of assigned area.
- Interprets and explains County and Department rules, policies, and/or regulations pertaining to temporary employee payroll.
- Performs other related duties as assigned.
Working Conditions - Mandatory overtime is required during Election cycles.
- Office environment requiring extended periods of sitting.
